Legal basis for the processing of personal data
1. Department of the Polish Biographical Dictionary of the Tadeusz Manteuffel Institute of History of the Polish Academy of Sciences, address: ul. Sławkowska 17, 31-016 Kraków, represented by the Director of the Institute of History of the Polish Academy of Sciences, shall be the controller of your personal data, i.e. the entity that determines the purposes and means of the processing of personal data collected at the www.ihpan.edu.pl website and of data delivered to us in any other manner. Third parties cooperating with the Institute of History of the Polish Academy of Sciences on the basis of data processing agreements may also be controllers of personal data.

Personal data shall be subject to processing in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data (hereinafter: GDPR) as well as the (Polish) Personal Data Protection Act of 10 May 2018 (Journal of Laws of 2018, item 1000).

In accordance with Article 37 of GDPR, the Personal Data Controller has designated the Data Protection Officer that you may contact in writing by traditional post or by e-mail at: iodo@ihpan.edu.pl. The Officer shall respond to your queries concerning the processing of your personal data by the Institute of History of the Polish Academy of Sciences.
4. Your personal data may undergo processing provided you granted your consent thereto, if such processing is necessary to exercise a right or to comply with an obligation under the law or for the pursuit of legitimate purposes implemented by the Institute of History of the Polish Academy of Sciences.
5. Your personal data has been provided to the Institute of History of the Polish Academy of Sciences voluntarily.
6. You have the right to access the content of your data and to rectify such data. According to Articles 13–18 of GDPR, each person may request that their data be completed, updated or rectified or that the processing of such data be temporarily or permanently ceased or that such data be erased (‘right to be forgotten’), if such data is incomplete, outdated, incorrect or was collected in violation of the Act or is no longer necessary in order to implement the purpose for which it was collected.

9. You have the right to lodge a complaint against the Institute of History of the Polish Academy of Sciences, being the controller of personal data, with the supervisory authority, i.e. the Personal Data Protection Office.
10. In the conduct of recruitment processes to certain positions we have the right to demand the provision of data in accordance with the (Polish) Regulation of the Minister of Family, Labor and Social Policy dated 10 December 2018 concerning the manner of maintaining personal files (Journal of Laws of 2018 no. 2369, as amended).
The type and purpose of the processing of personal data
1. When you contact us by phone, e-mail, fax or by letter and provide your personal data to us (name, surname, e-mail address, correspondence address, phone number, etc.), such data shall be collected and processed in accordance with the purpose of collection thereof, i.e. inter alia:
– in order to carry out subsequent correspondence,
– in order to respond to an inquiry sent to us,
– in order to accept and perform an order,
– in order to accept and perform a contract,
– in order to carry out recruitment,
– in order to carry out selection for doctoral studies,
– in order to conduct procedures for the award of a Ph.D. degree (doktor), postdoctoral degree (doktor habilitowany) and professorial degree,
– for the purpose of publishing activities pursued by the Institute of History of the Polish Academy of Sciences,
– for the purpose of research and scientific activities pursued by the Institute of History of the Polish Academy of Sciences.
2. When you visit our www.ihpan.edu.pl website, our servers shall automatically save system logs – anonymous information, such as: time spent on the website, URL address, browser data, computer data, etc.
3. Collected logs shall be stored for an indefinite period of time as auxiliary material for the purposes of administering the server, and information contained therein shall not be disclosed to any party, save for persons authorized to administer the server and the network of the Institute.
4. Data provided in profiles for employees on the website of the Institute of History of the Polish Academy of Sciences shall also be stored.
Storage of personal data
1. All personal data that you provided to us shall be stored by the Institute of History of the Polish Academy of Sciences for a period that is either specified in provisions of law or required for the purpose for which they have been collected, or until you request that they be deleted.
2. Data of no archival value shall be deleted from the system, and data processed manually shall be destroyed so that no unauthorized person may access them.
Security of personal data
We have implemented generally accepted standards of technical and organizational security that comply with the requirements of Polish and European law in order to protect personal data and information from loss, improper use, change or destruction. In particular, we ensure compliance with relevant non-confidentiality obligations and the use of technical and organizational safety measures, in order to prevent unauthorized and unlawful processing of information and data about a person. Access to personal data processed in the Institute of History of the Polish Academy of Sciences shall only be granted to authorized employees within the scope of their tasks and to editorial offices of magazines in respect of preparing and implementing publishing processes.
